CoDash

A company dashboard and HR platform for UK teams, engineered front to back. People, time off, recognition, anonymous feedback and performance in one login, with the privacy promises enforced in the code rather than written on a policy page.

The situation

Every growing company hits the same wall. You have outgrown a spreadsheet and a birthday channel, but you do not want to spend six months implementing an enterprise HR system to replace them. So you end up with five tools: a leave tracker, a people directory, a recognition app, a survey tool, and a review spreadsheet nobody opens between Decembers. Five logins, five bills, and no single place that tells you who is in, who is away, and what needs approving.

The harder problem is honesty. Engagement tools ask people to say how work really feels, then store those answers somewhere a manager could, in principle, go and look. People work that out quickly, and after that nobody tells the truth twice. Fixing it with a policy is not enough, because a policy is a promise. It had to be an engineering requirement: build the system so that the data a manager should not see does not exist in a form they could read.

What was built

One system, not five bolted together.

  • A single dashboard where the day-to-day, the culture and the growth conversations share the same people, teams and permissions, so nothing has to be kept in step by hand.
  • Time off that works itself out: drag a range on the calendar and working days, bank holidays and half days are computed for you, with per-team coverage rules that warn before an approval leaves a team short.
  • Recognition that runs on autopilot: birthday and work-anniversary cards open for signing days early and stay a surprise until the morning, plus kudos tied to the company's own values.
  • Anonymous feedback with nothing to leak. Submissions are stored with no author column at all, and no team aggregate is shown to anybody until enough distinct people have contributed. Below that threshold the chart simply does not exist.
  • 1:1s, goals, review cycles and 360 feedback sitting alongside the daily work, with a manager-only private lane for notes, so development stops being an annual document.
  • GDPR handled as product features rather than paperwork: one-click subject access exports, anonymise-on-exit for leavers, retention auto-purge, a full audit log, and a panel showing every employee who has accessed their record.
  • Django and Postgres behind a React front end, 35 back-end modules covered by 115 test files, with each company running on its own instance and its own subdomain.
  • A public sandbox at demo.codash.co.uk, loaded with a fictional company, so a buyer can go and try to break the privacy gate themselves before speaking to anyone.

Measured with Google Lighthouse against the live marketing site on an emulated mobile connection. Best practices and search readiness both score full marks. The performance figure reflects a long, content-heavy landing page over a throttled mobile connection rather than a slow application: the server answers in 120ms, total blocking time is 50ms, and the layout does not shift at all.

Ongoing care

CoDash is hosted and maintained by Jones Digital on its own infrastructure. Every company instance is backed up nightly: the database, uploaded documents and the configuration needed to rebuild it are encrypted before they leave the server, copied offsite, and kept for thirty days. New instances are discovered automatically, so a company provisioned today is in the backup tonight without anyone remembering to add it. Once a month a restore drill runs on its own and rebuilds the newest backup to prove it genuinely restores. The last one recovered 21 users, 364 uploaded files and 21 configuration files. Certificates renew themselves.
